Who we are
Upscale Media Solutions is a web design and digital marketing business based in Strathmore, Alberta, Canada. This policy explains how we handle personal information when you visit upscalemedia.ca, contact us or work with us.
Corey Papineau is the contact for privacy questions and requests. Email hello@upscalemedia.ca with “Privacy request” in the subject line.
Information we collect
When you submit our enquiry form or email us, we receive the information you choose to include, such as your name, email address, business name, website, requested services and message. If you become a client, project communications, billing information and information needed to deliver the agreed services may also be part of our business records.
Our contact form sends your enquiry to hello@upscalemedia.ca through our hosting provider’s email service. Enquiries are retained in our business email records, rather than a website enquiry database. Direct email links open your own email application. To limit spam, the form temporarily stores a hashed network address and request timestamp on the server for up to one hour. It does not use a tracking cookie.
Our hosting provider may record technical information such as IP addresses, requested pages, browser details, timestamps and security events in server logs. These records help operate and protect the website.
How we use information
We use enquiry information to respond to your questions, understand the services you need, prepare proposals and communicate about your request. Client information supports agreed project work, account administration, invoicing and business records.
We collect information relevant to these purposes. Do not send passwords, payment card details, government identification or other sensitive records in an initial enquiry. Where a project requires account access, we arrange appropriate access separately.
Consent and your choices
By contacting us, you provide information for responding to your enquiry. This does not automatically subscribe you to a marketing list. We seek appropriate consent before using personal information for a new purpose, unless the law permits or requires otherwise.
You may ask us to stop optional communications or withdraw consent, subject to legal or contractual requirements. We will explain if withdrawing consent affects our ability to provide a requested service. Essential project, billing or legal communications may still be necessary.
Service providers and disclosure
Website hosting and email services may process information needed to deliver their services. Client work may involve agreed platforms such as website hosting, Google or Meta accounts. Access is limited to what is needed for the work and should use business-owned accounts and appropriate permissions.
We do not sell personal information. We may disclose information when required or permitted by law, to address security or legal issues, or to a service provider supporting the identified purpose. A provider may process information in Canada or another country, where it can be subject to local laws. You may contact us with questions about the providers used for your information.
The website displays customer reviews and a Google rating badge through embedded Trustindex widgets. Loading this widget connects your browser to Trustindex and may disclose technical information such as your IP address and browser details. The provider may use cookies or similar technologies according to its privacy policy. Review content is supplied through the connected third-party service.
The contact page includes an embedded Calendly booking calendar. Loading the calendar connects your browser to Calendly and may share technical information such as your IP address and browser details. If you book a call, Calendly processes the details you enter to schedule the appointment. We use booking details to arrange and respond to your request.
Retention and safeguards
We keep personal information only for as long as needed for the identified purpose, an ongoing client relationship, reasonable business records or applicable legal requirements. Information that is no longer required should be securely deleted or made anonymous.
We use reasonable safeguards appropriate to the information, including limited account access and protection of business accounts. No website or email system can guarantee absolute security. We assess suspected incidents and follow applicable notification and reporting requirements.
Access, corrections and concerns
You may request access to personal information under our control, ask for a correction or raise a concern about how it is handled. Email the privacy contact above and describe the request. We may need to verify identity before releasing or changing information, and will respond within the time limits required by applicable law.
Some information may be subject to a lawful exception. If we cannot fulfil a request, we will explain the reason as permitted by law. You may also contact the Office of the Information and Privacy Commissioner of Alberta, or the Office of the Privacy Commissioner of Canada where federal privacy law applies.
Scope and changes
Alberta’s Personal Information Protection Act and applicable federal privacy requirements inform our approach. This policy concerns our own website and business communications. A separate client website, application or advertising campaign may require its own privacy notices and responsibilities.
We will post updates here with a revised date. For questions about this policy, contact hello@upscalemedia.ca.
